All registrations are binding and subject to the cancellation policy stated below.

Cancellation & Refund Policy:

• Refunds are honored only if requested prior to the individual program’s stated Registration/Refund Deadline Date. No refunds will be issued after the Registration/Refund Deadline Date.
• Substitutions: If you cannot attend, a colleague may attend in your place. Please contact Darcie TeVault to arrange any substitutions.
• Cancellation requests must be submitted through this form.
• An Administrative Fee will be withheld from the refund per the following guidelines:

VAIS Programs Inclement Weather Guidelines*

Registrants are advised to use their best judgment when traveling to any VAIS program.

In case of inclement weather either on a single-day VAIS workshop or on the first day of a multi-day VAIS program:

• If the speaker has been able to travel to the program location, the program will be held as planned. If a registrant is uncomfortable with traveling and chooses not to attend the program, then it is the registrant’s responsibility to identify a replacement. No refunds will be issued.
• If the speaker is unable to present for the program, VAIS will take the following steps to inform participants of the postponement and/or cancellation of the program:
  • An announcement will be posted on the event page for the program (page where you registered) as early as 5:00 AM the morning of the program.
  • If VAIS learns a day or more in advance of the program that the speaker is unable to present, VAIS will contact registrants immediately by email.

*The above guidelines do not apply to the VAIS Annual Conference nor to the VAIS Heads of School Conference. Check your email for any updates or changes.

Cancellation Policy

School Cancellations

• 30+ days before the scheduled program: The school will receive a full refund.
• Anything less than 30 days: No refunds will be issued. Schools will be able to reschedule the training within the current fiscal year. Rescheduled trainings are at the discretion of the trainer. If nonrefundable travel arrangements have been made, the school must reimburse the trainer.

Program Cancellations by VAIS

• 30+ days before the scheduled program: VAIS will reschedule the program to a future date agreed upon by the trainer and the school.
• Anything less than 30 days: In the unlikely event that VAIS cancels the program within 30 days of the scheduled date, schools can receive a full refund of the registration fees or may reschedule the training to a future date within the current fiscal year. Rescheduled trainings are at the discretion of the trainer and will occur on a mutually agreed-upon date.

How to Cancel

BoardWORKS: All cancellation requests must be submitted in writing to Betsy Johnson at betsyjohnson@vais.org. Refunds, when applicable, will be processed within 14 business days.

Custom Professional Learning: All cancellation requests must be submitted in writing to Darcie TeVault at darcietevault@vais.org. Refunds, when applicable, will be processed within 14 business days.
